Project Manager; Due Diligence and Entitlements (PM)

Reports To: Regional Manager and Vice President of Entitlements

Employment Status: Full Time

Entitlement Manager Job Purpose: Reporting directly to the Regional Director and with a dotted line connection to the VP of Entitlement, the PM is responsible for planning and executing assigned projects designed to assist in the accomplishment of division or department objectives, as well as facilitating necessary communication and implementation of processes throughout the department.

Primary Responsibilities: • Perform as directed all aspects of due diligence prior to the onboarding of a potential project

• Vetting potential professional consultants

• Requesting proposals from various design professionals

• Evaluating proposals to ensure complete scopes of work and accurate cost estimates for defined scopes of work

• Contract preparation in conformance with Company standards and procedures

• Support the entitlement process from start to finish

• Project accounting functions including managing the budget, tracking team expenses, and minimizing exposure and risk in the project

• Monitor all entitlement activities to ensure predetermined schedules are met

• Communicate effectively with the consultants responsible for completing various phases of the project

• Coordinate the efforts of all parties involved in the project, including planners, engineers, consultants, and contractors

• Maintain strict adherence to the budgetary guidelines, quality, and safety standards

• Understands project objectives and requirements necessary to structure the activity

• Develops and drives integrated project plans, aligning project tactics with project strategy

• Plans, schedules, and controls project activities to fulfill objectives and satisfy client requirements

• Directly responsible to lead, facilitate, and/or participate in effective project meetings, manages, and adapts to change and conflict, and ensures projects are completed within established scope, schedule and budget

• Participates on high performance project teams, which includes motivating all associated project resources to gain alignment on project goals and deliverables

• Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures

• Directs quality control review of project deliverables to ensure requirements are met

• Coordinates and completes a broad variety of administrative tasks, which may include but are not limited to: creating and distributing meeting notes, responding to information requests, database management, document preparation, composing and preparing correspondence that is sometimes confidential, mailing/delivering documents and packages, managing calendars and travel arrangements, and processing expense reports

• Other duties as assigned

 

Skills, Qualifications, Knowledge Requirements:

• Experience managing complex projects in a multitude of environments

• Strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly and with excellent attention to detail

• Excellent interpersonal skills with the ability to build relationships with stakeholders, including staff, external partners and investors

• Demonstrated proactive approaches to problem-solving with strong decision making capability

• Highly resourceful team-player with the ability to also be independently effective

• Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment

• Innovative thinker, who actively seeks opportunities to improve performance and proposes solutions

• Capacity to motivate, lead, and boost morale of teams

• Effective time management and logical decision-making ability

• Capacity to handle pressure

• Willingness to travel occasionally

 

Experience/Education: • Minimum 5 years of experience in land development, title company, or civil engineering • A four-year Bachelor's degree Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Smartsheet, Adobe Acrobat, PC and Apple Operating Systems, and social media web platforms, with the ability to quickly adapt to changing technology environments
